First, which kind of order is it?
- Group order (everyone gets one): youth group, volunteers, camp staff. You know the headcount, so the work is the size split.
- Optional sale (people choose): a church store or fundraiser. Use a store with no minimum so people only order what they want.
If you are not sure, tell us roughly how many people you are outfitting and we will help find the right fit for your size.
For group orders
- Get a real headcount from a sign-up, not a guess.
- Collect sizes directly. A simple form or Planning Center sign-up works. Do not let people guess.
- Add a small buffer for late joiners, usually in the common middle sizes.
- Keep leader and kid sizes separate so adult sizes are not mixed into youth counts.
For youth and mixed-age groups
We carry youth XS to XL and adult XS to 3XL. Youth sizes and adult sizes run differently, so keep the two lists apart before you total anything, and ask people to check the size chart when they pick.
Things that cause reorders
- Counting pledges instead of confirmed sign-ups
- No size chart shared with families
- Combining leader and student counts
Let the portal count for you
The OTTM portal counts sizes for you when you connect Planning Center. That removes the spreadsheet step for event-based orders.
